The Million Dollar Round Table is seeking a Program Planner for their Professional Development Department. They are specifically looking for someone with experience in East Asia. The Program Planner manages all aspects of the programming for assigned MDRT global meetings and serves as a liaison between member volunteer committees and staff departments. This position works in a fast-paced, team-oriented, deadline-driven, professional environment and must have strong project management, planning skills and attention to detail. The Program Planner must also have outstanding communication skills, a focus on providing exceptional customer service and a collaborative, positive attitude.


Job Summary

  • Manage all aspects of assigned MDRT meetings’ program development and implementation.

  • Maintain knowledge of current and future trends in association programming and management.

Responsibilities


Serve as staff liaison to assigned MDRT Program Development Committee (PDC)

  • Serve as staff liaison to assigned Program Development Committee.

  • Monitor all phases of program development to ensure deadlines are met and appropriate logistic requests are communicated to appropriate MDRT staff and committee members.

  • Work with Chair to develop agendas for all committee meeting and conference calls.

  • Manage all materials for conference calls and in-person meetings and take minutes for committee meetings and conference calls.

  • Manage the speaker recommendation, review and selection procedures.

  • Assist Chair to complete the required reports, review for accuracy and include additional details when appropriate.

  • Assist Professional Development Director and Program Manager in the PDC member selection process.

  • Coordinate translation and interpretation of PDC materials and meetings as needed.

Meeting program development and implementation

  • Lead assigned Program Development Committee with the identification, selection and contracting of speakers for all assigned meetings. Coordinate all aspects of the programming and speaker management and serve as a liaison between volunteer committees and staff departments.

  • Collect speaker recommendations from committee members and speaker bureaus in order to curate potential speakers to present to the committee for review.

  • Coordinate the compilation of speaker review results for all assigned meetings and manages the speaker tracking system. Provide input on speaker schedule to the program draft for each meeting.

  • Provide speaker and session information for all assigned meetings’ collateral such as program draft, registration, program book, promotional material, website and mobile event app.

  • Coordinate translation of speaker and session information and materials for meeting publications, websites, and apps

  • Coordinate collection of speaker related materials, e.g. photos, biographies, scripts, visual aids.

  • Participate in staff team meetings and be prepared to provide updates, answer questions, etc.

  • Preparation, negotiation, and execution of speaker contracts.

  • Preparation of wire transfer/ACH requests and tracking of speaker honorariums and payments to speakers (if applicable).

  • Lead process for speaker management, including obtaining speaker agreements, managing presentation and handout deadlines, and ensuring content is submitted accurately and is up to the standard of the MDRT brand, AV requirements, oversight of honoraria and travel expense reimbursement, and other support activities.

  • Work with Program Production Coordinator on preparation of AV and support materials including compliance review, editing, and revisions for all assigned meetings.

  • Coordinate production rehearsal meeting, including scheduling speaker rehearsals and confirming details with production company

  • Coordinate scheduling of on-site tech checks for Main Platform and Special Session speakers.

  • Oversee and monitor preparation and submission of speaker scripts and presentation support materials.

  • Preparation of program related spec sheets for all assigned meetings.

  • Analyze post-event evaluation surveys to improve future programs and member experience.

Maintain knowledge of current and future trends in association programming and management

  • Research current and future trends in programming topics, formats, etc.

  • Participate in professional development activities.

  • Participate in association professional organizations.

  • Explore opportunities and methods for introducing new concepts to volunteer committee members and MDRT staff.

There's still time to register for our second Japanese Language Night! These events are intended to bring together JETAA members and supporters who want to stay engaged with Japanese language learning and use.


Our second meeting will take the form of a Pecha Kucha (chatting) night on Tuesday, June 15th from 6-7 pm CST! We welcome everyone to join in on the fun and practice their language skills. Breakout rooms will be opened to make space for small group discussions, and will accommodate different language ability levels ranging from beginner to intermediate to advanced.
